1. Who we are
This website, bookingvirtual.com (“BookingVirtual”, “we”, “us”), provides an online scheduling service that lets professionals share a booking page and lets visitors book appointments.

2. The personal data we collect
If you create an account (an “agent”):
- Your name, email address and password (passwords are stored encrypted by WordPress).
- Optional profile photo, your timezone, your availability settings, and any email signature or intro text you add.
- The custom booking questions you create.
If you book an appointment (a “visitor”):
- Your name, email address and phone number.
- The date, time and type of appointment (online or in person) and the listing/subject it relates to.
- Your timezone (detected automatically from your browser so we can show times correctly).
- Your answers to any questions the agent has added to the booking form.
Collected automatically:
- Basic technical data such as your IP address and browser information, used to keep the service running and to prevent spam and abuse.
- Cookies and similar technologies (see section 5).
We do not intentionally collect special categories of data (such as health or financial information). Please do not enter such information into free-text booking fields.

4. How we share your data
We share personal data only with the service providers we need to operate BookingVirtual:
- Hosting provider — our website and database are hosted on our server with Namecheap.
- The agent you book with — when you make a booking, your details (name, email, phone, answers) are shared with the professional whose calendar you booked, so they can hold the appointment.
- Video meetings (Jitsi Meet) — for online appointments, a video link is created using Jitsi Meet (meet.jit.si). If you join an online appointment, your connection and any information you share during the call are processed by that service.
- Cloudflare — we may use Cloudflare for security, content delivery and bot protection (Turnstile). Cloudflare may process your IP address for these purposes.
- Google Fonts — our site loads the “Inter” font from Google Fonts, which may transmit your IP address to Google.
- Email delivery — confirmation and reminder emails are sent through our server.
- Cookie consent (CookieYes) — we use the CookieYes plugin to manage cookie consent.
We do not sell your personal data.
5. Cookies and consent
We use cookies and similar technologies to make the site work, keep you signed in, remember your cookie preferences, and protect against abuse. Some are strictly necessary; others (such as analytics) are only set with your consent.
When you first visit, our cookie banner (powered by CookieYes) lets you accept or reject non-essential cookies. You can change your choice at any time using the cookie settings link on our site. A detailed, up-to-date list of the cookies we use is available in that cookie settings panel.
6. International transfers
Some of the providers listed above (for example Jitsi and Google) may process data on servers outside Switzerland and the EU/EEA. Where that happens, we rely on appropriate safeguards such as the European Commission’s Standard Contractual Clauses and equivalent Swiss mechanisms.
7. How long we keep your data
- Account data: for as long as your account is active. If you delete your account, we delete or anonymise your account data.
- Bookings: we keep booking records for 1 month after the appointment, then delete or anonymise them, unless we must keep them longer for legal reasons.
- Anti-spam/technical logs: kept only for a short period.
8. Your rights
Depending on where you live, you have the right to:
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data deleted;
- restrict or object to certain processing;
- receive your data in a portable format;
- withdraw consent at any time (without affecting prior processing).

9. Security
We take reasonable technical and organisational measures to protect your data, including encrypted password storage, access controls, email-authentication (SPF/DKIM/DMARC), bot protection and rate limiting. No method of transmission over the internet is completely secure, however, and we cannot guarantee absolute security.
10. Children
BookingVirtual is not intended for children under 18, and we do not knowingly collect their data. If you believe a child has provided us personal data, please contact us and we will delete it.
11. Changes to this policy
We may update this policy from time to time. We will post the new version here and update the “Last updated” date above. Significant changes will be highlighted where appropriate.
